I have been generating 150-400 page reports with multiple lists in tables. Word's auto numbering would only go so far in applying sequential numbering but then it just stops and I could not use it any more. For years, I've applied an autonumbered style to the first cell I want to be sequentially numbered. When I add rows, the cells immediately below continue that same numbered style whether I add them by tabbing from the end of the last row or by using the commands to inserts rows above or below. Because the numbering is part of a style, it can continue from one table to another, but it can always be restarted. I can even skip a row by changing the style for the particular cell or by just toggling off the numbering. I also use it to show two levels of numbering in a single cell by creating two autonumbered styles in a hierarchy that works just like Heading 1 and Heading 2.

While I use the data merge feature of InDesign often, I avoid the “multiple records” feature, but I typically prepare one record on one page, output the resulting file to PDF and then let the imposing software take care of the page imposition. This is how I see it. A person (passenger) makes a reservation. If the person has never made a reservation before, then they are added to the passenger table, But it really makes no sense to assign a sequential number to the passenger. Otherwise, an entry, just needs to be made in the reservations table. The Reservation needs to include the specific train (number and date so there should be a table for train schedules so all you need is a foreign key), the passenger and date of travel. Here I can understand wanting a sequential number to show passengers booked in a day.

I to, have read through your directions while using both mac & pc platforms. I fail to find the “standard features” screen shots that you show above in either program. I too have spent several hours trying to get the sequential 3-up numbering as described. In trying to produce 300 tickets, I can get all of the first numbered position to be sequential over 100 pages. But, when moving down to the second or third ticket position on the page and setting up the numbering, I repeatedly find that I get a repeat of the first 100 numbers. I am lost as to how to proceed. Is there any other missing step or info that I am assumed to have knowledge about that was not mentioned above? If you know of some other site that might explain this process any better, please post. An easier way is to setup the table in Excel and use the Excel features to create sequential numbering. The cells making up the whole table can then be selected and copied into a Word document using CTRL/C and CTRL/V which will create a table in Word. Column widths and borders can be set up in Excel and cells can be filled in before copying to the Word document.

Yes, I’m a little confused by your brief too. The script that I describe here will create an array of numbers using any step value that it offers, including by 1 number each time. Whether you put the resulting list directly into InDesign as text, or indirectly using the Data Merge feature is up to you. Perhaps learn more about the Data Merge feature of InDesign itself – David Blatner has a great series on Lynda.com that will explain Data Merge much more than I can on this thread.
You may wonder whether typing 1, 2, and 3 would be easier than using the ListNum field. Although doing that may be easier initially, the value of using the ListNum field becomes apparent when you cut and paste. When a paragraph contains multiple numbered items that you move or delete, Word automatically updates the ListNum fields. Using ListNum fields assures you of accurate numbering within a paragraph throughout the document.
