Notice that the Font option (when you applied italics) changes only the number, not the heading text. To update the heading text, modify the heading style as you normally would. Word assumes you want all Heading 1 and Heading 2 styles included in the new numbering scheme. If you want to omit a heading level from the scheme, don't use a built-in heading style to format those headings.
In the example I explained, I was using a list, but did it with un-linked text boxes using “continue from previous number” and “continue numbers across stories.” I’m guessing that there is no way to tell InDesign that even though there are 4 text boxes on the page, that there are two different lists? I’d probably have to just create two threaded stories for that scenario to work.
The above steps are the most basic way to add a very basic page number, but if you follow a few tricks then you could save yourself even more time and get the job done even faster. For one thing, the page number you’ve added is only for one page, and if you used that method you’d spend ages adding page numbers to the whole document. With the numbered paragraphs shown above, there is no extra spacing between the paragraphs. That’s easy to fix. Go ahead and type out at least part of your first numbered paragraph, then go to the Page Layout tab and adjust the value of Spacing After in the Paragraph section. Still no extra space? There’s one more setting to check. Click the launcher arrow in the lower right-hand corner to go to the Paragraph dialog box, uncheck the box next to “Don’t add space between paragraphs of the same style.” Click OK. That paragraph and all the remaining numbered ones will have more breathing room.
i’ve had to do tons of this lately and found that for the amounts of tickets being done (e.g. 7000 x 10 tickets + cover & mailer) that chuckT’s solution almost 2 years ago is similar to what i use. would be interested to know if others doing similar VDP are using a wholly indesign/excel solution, or if specific VDP software such as XMPie are being used.
Thank you for your reply. It reassured me that I was on the right path. From having read other Help texts, I guessed that I would have to use good ole mail-merge and set up a numbers list in Excel. Luckily my knowledge of Excel was good enough to know about the drag&drop for sequential immediate numbering. When it came to the crunch, it was this particular type of mail merge which gave me a bit of initial difficulty. Despite my having used it happily and often in Word, for labels in Publisher, it was - not surprisingly - different in certain respects; principally the crucial point of the Print stage, which necessitated finding the option Publications & Paper Settings, and selecting 2 specific parameters, namely (1) Multiple pages per sheet, (2) Single-sided printing (my default double printing had appeared). Once I'd sussed this, it was plain sailing. Thanks again.
You can use Microsoft Word to create complex documents. Books and other large documents occasionally require different page number formats in different sections of one document. For example, you can number the index pages with Roman numerals (for example, "i.", "ii.", "iii.") and the main document with Arabic numerals (for example, "1", "2", "3"). @Aaron: I am stuck exactly with the same problem. I am constructing a style guide document, and thus my content is mainly images, not text. Still I do need numbered chapters in multiple levels, but the automatic numbering seems to be almost impossible as my headings are in separate text boxes. I have tried linking heading text areas, section markers, numbered lists and whatnot, but I am about to revert back to manual numbering instead of battling with this and wasting time! It’s just so devastating, I believe that machines should do what they do best, instead of people keeping track of numbering chapters!
Two things to keep in mind regarding numbering across multiple frames: First, you have to set up a List, as discussed in this post. Second, fi you have more than one unthreaded text frame on the same page, the numbering can get wonky because the numbering is based on the order you created the text frames. Cut and paste a frame and the number updates.
First thing we need to do, is we need to jump to page 1. So double click page 1, so we know we're on it. Right click page no.1, and we need to go to this option that says 'Numbering & Section Options'. Click on him. And what we do is, we say, I want to switch it from style 1, 2, 3 to A, B, C. Actually you pick any of these in here. It's really typical to use A, B, C, but you can use any of these other numbers, just click 'OK'. You'll notice that A, B, C, D, E is being replaced out. Now what we want to do is go to our first page that we want. In our case it's E. So I don't want this. Let's get rid of our Spreads. I don't want page 1, page C, or B. I don't want this to be page1, I want this to be page 1. So I'm going to double click page E. Right click it, go to 'Numbering & Sectioning'. And just say, I'd like to start at page no. 1 using this format. Click 'OK'. What will happen is, you can see, page 1 starts here, 2, 3, 4. You see, the numbering starts here as well. All the way through, to the end of our document.
Word automatically formats text as a numbered list when you when you type a number and a period followed by a space: Word adds a tab and creates a ¼-inch hanging indent. (If the paragraphs already have hanging indents, the original settings are preserved.) The quickest way to create a custom numbered list is to change the formatting of an existing (or automatically created) list.
Like Microsoft Word, Publisher also lets you add page numbers to your document. This is a special element of the document, as the page number function is smart enough to manually adjust itself in the event that something changes the number of pages in the document. This makes it (typically) preferable to a manual page numbering system that could become incorrect if the number or order of pages changes. We use the auto page numbering trick here, the trick is to do it as spreads. You just make your pages the same size as the ticket with crops and bleeds. Then set up the shell on the master page and place your auto page number where you want your numbers. Each pages is the next number. You can also have two sets of numbers for perforated ticket. You then can use the page start options to add to the numbers and keep the same number of total numbers. For example you would do a new page start after number 99. 0001 to 0099 so it doesn't add two "0's" to the front of 100 and you get 00100 when you want 0100. Works great for small quantities, we have done up to 1000+ tickets and once you do it once or twice it is a snap to set up. To avoid having to do 1000 pages just send the tickets in groups. Usually between 25 to 100 at a time works good depending on artwork file size. Just save each time before sending to printer and name the file with what the tickets are. Like "MyTickets-0001-0100.Indd". Makes it easier to go back if you have a problem. You can even do two rolls of tickets if your using 12 x 18 sheets by flipping the sheet and doing one row along the top and one along the bottom on reverse side. That is if your ticket is single Sided. Two sided tickets are a bit trickier. :-)
One of the easiest ways to begin applying numbers is by starting to type a numbered list. Word recognizes that you are creating a list and responds accordingly by converting text that you type into numbered items. The number scheme, delimiter characters that mark the beginning or end of a unit of data and formatting are all based on what you have typed.
Do not let me lead you into a headache under false pretences: this FAQ is not going to tell you how to fix a document that contains broken numbering. It simply explains how the numbering works: this is valuable information if you work with Word a lot, and by understanding it, you can often work out how to fix a document. You can add a chapter number variable to your document. Like page numbers, chapter numbers can be updated automatically and formatted and styled as text. A chapter number variable is commonly used in documents that are part of a book. A document can have only one chapter number assigned to it; if you want to divide a single document into chapters, you can create sections instead.
