In Word 2000, when you begin a numbered list, it is an Outline Numbered list by default. Therefore, you do not need to go into the Bullets & Numbering command unless you plan on changing the default scheme.

In my numbering scheme, there is no concept of a “minor correction”. If there is a need to change Issue 2 Final, I would draft the change as Issue 3 Draft A, get it approved and then issue it (approved) as Issue 3 Final. Version numbers are free, after all, and it keeps the approach simple! In your situation, it sounds like you have a very specific need to have one new version number per week, so I guess you need to extend the method.

A common practice in law firms is to generate outline numbered styles that have bold or underlined heading text immediately followed by paragraph text on the same line. When we design a Management System we number operational procedures. These are the procedures that are specific to say Environmental Management, but trust us it’s not the traditional numbering. They all get the same number. Yep, that’s right we might, for instance, give all the quality specific procedures that sit below the integrated top level documents the same number, all the safety procedures another number, and another number for the environmental procedures. Does that sound weird? Let’s explore the reasoning behind this.

However, there is a property we can use to get ourselves out of this problem and that is the AbsolutePosition property of the recordset. We can create a textbox, bind it to expression “=RowNumber()” and then create a function on the module behind the form that references the recordset:

Never expect users to rely solely on the document numbers to locate them and make sure you provide and use search tools where possible. OK, First, you need to reread the blog. You should NOT be storing the Transaction_ID. It is a calculated value. Second, your naming is what confused me. Your Passenger table should have an autonumber PassengerID. That PassengerID should be the Foreign Key in your Reservations table. Your servation table should also have an autonumber for ReservationID. I really don’t see why you need sequential numbering in the passenger table. I can understand it in the Reservations table, but not in the passenger table. Also, I don’t see any reason for a transaction date in the passenger table. I can understand a CreateDate for when the passenger signed up.

OK, so what didn’t you understand in my blog? The blog contains instructions on how to deal with this. It tells you that you do not want an LH Identifier field. It tells you that all you need is to add a Sequence field to store the Sequential number. It tells you how to base that number on the current year so it restarts with the new year, Finally it tells you how to combine the year and the sequence # with whatever else you need to display the LH identifier. I made a point of numbering all my documents by order of their place in the quality manual. For example, Section 8 is Vehicle Management and the first document in this chapter is the Company Vehicle Policy. Thus Doc 8.1- Company Vehicle Policy, 8.2- Vehicle Cleaning Procedure etc…. I had wanted to create a file that didn’t require Excel as the data source, so I created one using SEQ fields. You could make a separate pdf document for each of the four parts, sequentially number each one, save them as e.g.: A.pdf B.pdf C.pdf and D.pdf. Then extract all pages as individual files for each of the four numbered PDFs into a common directory. Then combine all the single page PDFs into one file. Acrobat should order them alphanumerically, which would be in the correct order if you have Acrobat XI (watch for, e.g. A 10.pdf ordered before A 2.pdf with earlier versions).

As has already been mentioned, the method for organizing and “naming” or “numbering” documents is really up to your organization. There is no requirement for the method to be applied. Numbering in Microsoft Word is broken, sort of. It has been for many years. (It is actually better now than it has been.) By attaching it to Styles, you can tame it. This is not fair; it is not easy; but, it isn’t rocket science and it can be done.

Every change should (I say must) be approved, otherwise we are accumulating a series of unapproved changes for some future approval and release. There is a much simpler way to do this. In InDesign create a document with say 500 pages (number of finished sets you need). Go to the master page and insert a marker for the page number. Print the entire doc 4 times and make sure it is set to group not collated. Your job is completed!

Thanks I’ll consider something like V01_Final01 since you’re right that D/F might not be very clear although the V would be clear in my case. But yes, because of my specific reports where I get more than one Final version of report based on only one Final dataset, I get value from having V01_Final02 instead of V02_Final, since then I can keep the Version numbers increasing only when the main dataset changes.

Some drawbacks to this feature are that you lose a little control when you are typing. Word formats for you and some users do not like this. Also, on certain items, you will get a number when you do not expect or need one. For example, you have an attorney whose name begins with an initial (A. George Smith). When you type the name and press ENTER, the first initial “A.” converts to an automatic number.

When I’m working on a version controlled document, I always add a suffix “WIP” onto the file name to show that it is Work In Progress.
