Select documents in your Book file by pressing Ctrl/Cmd and clicking the documents, then click the fly-out menu at the top of the Book panel. If you’ve selected all the documents in your Book file, you’ll see Export Book to PDF in the fly-out menu, and if you’ve only selected some of the documents, you’ll see Export Selected Documents to PDF instead. Click the option you see, and InDesign will present the same Export dialog box you normally get when exporting to PDF in InDesign. Choose your file name and options, click Export, and voila!
Each section within an InDesign document can be numbered differently. Finally, open each remaining document in your Book file, go to the Pages panel, click on the thumbnail image of the first page of the document to highlight it, then click Numbering & Section Options in the Pages fly-out menu. Select Automatic Page Numbering at the top, and arabic numerals in the Page Numbering Style drop-down menu, as shown below, and click OK.
You can't use Word's Numbering feature to generate a multilevel numbering system, even if you use built-in heading styles. Figure A shows a document with two styled heading levels: Heading 1 and Heading 2. You can apply the Numbering option (in the Paragraph group) and Word will number the headings consequently, but the feature ignores different levels; if you expected 1, 1.1, 2, 2.1, and 2.2, you might be surprised. If you select the entire document first, Numbering not only ignores the different levels, but it also numbers the paragraphs!

If you start to type in what appears to be a numbered list, Word formats your manually typed "numbers" to an automatic numbered list. The main benefit of this option is that you do not need to click any button to start numbering and you can choose your numbering style as well. For example, if you type "(a) some text" and press Enter, it starts numbering using the "(a)" format.
Word automatically formats text as a numbered list when you when you type a number and a period followed by a space: Word adds a tab and creates a ¼-inch hanging indent. (If the paragraphs already have hanging indents, the original settings are preserved.) The quickest way to create a custom numbered list is to change the formatting of an existing (or automatically created) list.
Suppose you’ve made some changes to the styles or swatches in your chapter 5 document, and now you want to use those updated styles or swatches throughout your book. Click in the column to the left of chapter 5 to set chapter 5 as your book’s style source. Select all the other documents that you want to synchronize to chapter 5 by pressing Ctrl/Cmd and clicking the documents (they’ll turn blue when selected).
If you would like the page number placed in a different location, open the Position list box and choose another option. Notice how the preview pages are updated to show you how the page number will look on the printed page. Choose OK to insert the page number code. This code will be automatically updated with the correct page number, no matter how many pages you add or subtract from the document
Warning  Making even minor changes to an outline numbering scheme won't necessarily change the initial position you've selected in the gallery, but rather may create a new gallery position, overwriting an existing one. Because of this problem, attaching numbering to styles is strongly recommended. This is covered in greater detail later in this chapter and in the chapter on Styles.
In the Adobe InDesign document I’m working on here we actually have two master pages, an ‘A’ master and a ‘B’ master so I’m going to select both the left and right hand page frames with the special character in on my ‘A’ master and go to Edit>Copy. I’m then going to double click on my ‘B’ master page and go to Edit>Paste in place. this will then copy the special character and position it in exactly the same place as it appears on my ‘A’ master.

With a few tricky manipulations of the page number process, you can start running the numbers in an entirely new fashion.

So now on the A master page in your Adobe InDesign document you should have a capital A in the text frame that we created. This is more than just a capital A though, this represents the A master in your Adobe Indesign document and it means that on every page that is attached to your A master the corresponding page number will appear in that position on your page.

You can add a chapter number variable to your document. Like page numbers, chapter numbers can be updated automatically and formatted and styled as text. A chapter number variable is commonly used in documents that are part of a book. A document can have only one chapter number assigned to it; if you want to divide a single document into chapters, you can create sections instead.
You can add many of these items by using text variables. InDesign includes several preset variables, such as Creation Date and File Name. You can modify these variables, and you can create your own. For example, you can create a variable that displays the first use of a Heading paragraph style in the header or footer. Once you create or edit the variables you need, you assemble them on the master page to create your header and footer, and then you apply the master page to the appropriate document pages.
Thanks for the head start on this, it got me part the way through my problem but I found that when I had 3 figures in a row then a map, the next figure would jump back to #.1 again. Because I had figures, maps and tables that needed to be numbered I used the ‘levels’ to differentiate between them as you suggested, but found if you create a new number list for each entry ie. number list for maps, and number list for tables etc then they don’t conflict. thanks for the start off though. no where else pointed it out as clearly as this. CK Note: Word 2007 - 2013 interface has an different automatic numbering scheme which I have been told is much less subject to corruption. Microsoft Word 2010 Bible by Herb Tyson, MVP. However numbering is still very imperfect in these later versions. I still recommend following Shauna Kelly's step-by-step instructions (see above) if setting up numbering in a template or in a document likely to be heavily edited. If you start without doing this and end up with "spaghetti numbering," fixing it will be a very large chore!
