Providing the same number for groups of documents means that the focus is on the name of the document (which is really what people think of when they go looking for a document), the number merely identifies what part of the system the document relates to and allows documents to be grouped quickly and easily. We generally put these documents into their own container which is similarly numbered and has an appropriate description. Then we aim to limit the number of documents with the same document number in each container to around twelve. If you can get as far as the right folder or document number for a group of twelve documents then identifying the document you need is easy. I agree, MS documentation completely fails concerning multilevel lists. Additionally, it is not even close to being intuitive. Determine what kind of numbering you want to use for your document or book. For long documents, you can assign chapter numbers. Each document can be assigned only one chapter number. If you want to use different numbering within a document, you can define ranges of pages as sections; these sections can be numbered differently. Our document now has three different sections in it with repeating headers that indicate the section. If we wanted to, we could go through and easily re-name them as needed, remove them, add new sections, etc., without having to go through and retype them on each and every page.

In an early planning meeting, someone on a project we’re working on requested a 65 digit number for a document! This code wasn’t just numbers, it included letters and symbols as well. There’s no doubt that this system was super-organized, but is it practical? It’s worth remembering that the doc number has to be understood by everyone, including external suppliers and subcontractors. Plus the longer the number, the greater the risk of human error.

Remember, whether the number is displayed on the page or not, it is counted in the document. Simply removing a page number marker from a page isn’t going to change how that page is counted. To change the counting of pages you will need to use Numbering & Section Options.

To start page number 1 on the second page of the document go back into the options menu for the page palette and make sure that ‘allow document pages to shuffle’ and ‘allow selected spreads to shuffle’ is not selected. In my numbering scheme, there is no concept of a “minor correction”. If there is a need to change Issue 2 Final, I would draft the change as Issue 3 Draft A, get it approved and then issue it (approved) as Issue 3 Final. Version numbers are free, after all, and it keeps the approach simple! In your situation, it sounds like you have a very specific need to have one new version number per week, so I guess you need to extend the method.

For example, you would like to have your first level of numbering to be Bold and Centered. In the previous section, you experienced that when you used Outline Numbering alone, you had to format each paragraph individually to be centered. When you use styles, the centering takes place automatically once you’ve defined the style to be centered.

Word’s ribbon has buttons that can help you create lists instantly. Click the “Home” tab, highlight the paragraphs you’d like to number and click the Numbered icon to add a number before each paragraph. The Numbered icon looks like three lines numbered 1 to 3. After you add the numbers, you may discover a slight problem; by default, the line spacing between your paragraphs disappears. You can do that with workflows. Create a metadata column for the project (ideally using something like document sets so the ‘project level’ metadata is synchronised) and then a workflow that adds that project tag and the document ID number.
