Over the last few months, we've reviewed Word's numbered list features. In this article, we'll continue by reviewing Word's Multilevel List feature. Fortunately, it's easier to implement and modify than you might think.


My quick process involves setting up a row of plaques with a01, a02, a03, thru a09. Then copy the plaques to the clipboard. Run the REPLACE TEXT feature to replace "a" with "1". Move row down and paste clipboard back into page. Run REPLACE TEXT to replace "a" with "2". Repeat until I get all the numbers. It's faster than manually typing the numbers in but I know there's go to be someway of automating the process.

This chapter (web page) takes you through how numbering is supposed to work in Word and the various controls. It is useful, but primarily on SEQ fields and simple numbered lists and also as reference showing the menus, dialogs and controls and going through the concepts for outline numbering. To actually set up outline numbering that works, refer to the Kelly and McGhie articles.
You’ll be gathering several InDesign documents into one Book file to create a book. If you’re just getting started on your chapters, it’s best to design one of your more complex chapters first, then use that chapter as a template for all the remaining ones (i.e., “Save As” Chapter 1, delete all the original chapter’s text, place the Chapter 1 text, and thereby leave the trim size, margins, and styles intact and consistent among all chapters).
Tip: A “page x of y” page number tells you the number of the current page (x) and the total number of pages in the document (y). To create a “page x of y” page number, select Page 1 of 1 in the Page Numbering Format list box. (Note that if you have more than one page in your document when you insert or change the page numbers, the “Page 1 of 1” option may appear in the dialog box as “Page 1 of 2,” “Page 2 of 5,” and so on, depending on the current page and the total number of pages.).
Check the Restart Numbering After option, if you want sublevel numbers to start at 1. In most cases, you'll want to set the After option to the previous heading, as shown in Figure F. Doing so forces Word to start renumbering Heading 2 paragraphs after each new Heading 1 paragraph. In other words, when Heading 1 updates to 2, the sublevel number will start over at 1, generating 2.1, 2.2, 2.3, and so on.
In Japanese, Chinese, or Korean versions, by default, Arabic numerals are used for page numbers. However, if you use the Numbering & Section Options command, you can specify the style of numbering, such as Roman numerals, Arabic numerals, Kanji, and so on. The Style option allows you to select the number of digits in the page number, for example, 001 or 0001. Each part of the document that uses a different numbering style is called a section. CK Note: Word 2007 - 2013 interface has an different automatic numbering scheme which I have been told is much less subject to corruption. Microsoft Word 2010 Bible by Herb Tyson, MVP. However numbering is still very imperfect in these later versions. I still recommend following Shauna Kelly's step-by-step instructions (see above) if setting up numbering in a template or in a document likely to be heavily edited. If you start without doing this and end up with "spaghetti numbering," fixing it will be a very large chore!
